How the tiers work
Tier 1 anchors get validated youth instruments + portfolio rubrics + funder-facing measurable outcome claims. Tier 2 skills are reported as portfolio + reflection growth (no psychometric outcome claims). Tier 3 skills are reported as count of experiences completed, not as growth. The dosage math: 24 primary session-slots over 4 years = 8 anchors × 2 deep sessions + 7 development × 1 + 3 exposure × 0.
Triple-credentialed outcomes
The same 18 skills work, simultaneously, against three validated frameworks: FL Chamber 2019 (Florida-employer endorsement), America Succeeds Top 10 Durable Skills (76M-job-postings labor-market alignment), and HelloInsight Applied SEL constructs (validated measurement, Cronbach αs 0.81–0.86). Same content, three legitimate credentialing claims.

Industry mentor pipeline
Mentors · Pipeline
Industry mentors recruited by Virginia and the team. The public form at /mentors/apply writes here. Marlena owns first contact, Kasidy takes over at scheduling. Profiles are internal-only. Outreach assets (form, flyer, one-pager) live under Outreach.

Payments · Mentor background checks
Every Power Hour mentor pays a $35 Stripe charge to cover the cost of the criminal-record screening. This is the reconciliation view for that one source of payments. Cents-and-dollars detail (cards, receipts, refund initiation) lives in your Stripe dashboard.

1. Intake Single path. Everyone fills the form.
Public form (the only intake path)
Every prospect — including Virginia's warm referrals — fills the form at /mentors/apply. The required How did you hear about Power Hour? dropdown captures attribution (Virginia, Marlena, Kasidy, friend, event, social, search, other) plus an optional Who referred you, by name? field. Submission triggers a Slack ping in the mentors channel, an auto-response email, and a BCC to
programs@girlsincmiami.org. If the donor box is checked, Virginia gets a Slack DM. New row appears in /design#mentors with stage Lead (or Paused if the prospect chose "contact me in 6 months").
Manual-entry escape hatch
Admins can use + Add manually in /design#mentors for cases where someone genuinely cannot fill a form (e.g. captured at an event without phone access). The public form is the default; manual entry is the exception, not the rule.
2. Pipeline stages Definitions, owner, and SLA per stage

Paused
Mentor explicitly asked for a break (life event, season off, "contact me in 6 months"). No SLA.
Marlena
Re-engage at end of pause window
Lapsed
No engagement for 6+ months without an explicit pause request.
Marlena
Re-engage 1×, then Declined
Declined
Not a fit. Mutual decision. Terminal.
Marlena or Kasidy
Terminal
3. Handoffs
Marlena → Kasidy
Triggered when stage moves to Onboarding (after Vetted is complete). Marlena adds a note in the dashboard with: meeting summary, vetting outcome, mentor's expectations, any flags. Kasidy takes over agreement signing, photo release, training, and ongoing scheduling. (Changed 2026-05-07 — Marlena now owns through Vetted; Kasidy picks up at Onboarding.)
Donor crossover → Virginia
When a form submission has "Open to supporting beyond mentorship" checked, the row carries a Donor pill in the dashboard and Virginia gets a Slack DM with a link back to the mentor profile. Donor follow-up runs as a parallel track. Marlena and Kasidy continue mentor onboarding without waiting on the donor conversation.
4. Service levels
- 48 hours from form submission to Marlena's first personal contact. The auto-response goes out immediately and sets the expectation. Does not apply to rows that landed in Paused from the form.
- Weekly pipeline review every Tuesday. Marlena and Virginia walk through every row in Lead and Contacted. Anyone past SLA gets a same-day touch.
- Monthly lapsed sweep on the last Friday of every month. Marlena re-engages anyone in Lapsed once, then moves to Declined if silence continues.
- Monthly paused report (scheduled email digest) on the 1st of each month — surfaces anyone in Paused for ≥6 months so Marlena can decide whether to re-engage.
- These cadences kick off in June 2026 (post-wedding window).
5. Outreach asset usage Which asset for which moment
| Asset | When to use | Where to get it |
|---|---|---|
| Public form | Anywhere a prospect should self-apply | /mentors/apply |
| Print flyer | Hand to prospects at events and intros | /mentors/flyer (Cmd+P) |
| Email one-pager | Forward as a link in personal emails | /mentors/one-pager |
| Auto-response email | Triggered automatically on form submit | No manual action |
6. Edge cases
- Mentor declines the role. Set stage to Declined, note the reason in a thread note. If she stays open to other engagement (donor, host, panel), keep the row and flag for Virginia.
- Stale lead (no response 14 days after first contact). Marlena sends one re-engagement email, then moves to Declined if silence continues.
- Compliance hold (background check delayed, agreement unsigned). Stay in Vetted or Onboarding with a thread note documenting the blocker. Sarah escalates to legal or HR if it stalls.
- Active mentor pause (needs a season off, life event). Move to Paused (NOT Lapsed). Re-engage at the end of the stated window — if no window given, default to 6 months.
- Applicant flagged "contact in 6 months" on the form. Row lands directly in Paused with no 48-hour SLA. Re-engage in 6 months.
- Donor flag on a paused mentor. Virginia still gets the DM. Donor track is independent of the mentor pipeline state.

- Background check vendor. Sterling, Checkr, other?
- Mentor agreement template. Who drafts it? When is it signed? Baked into the form, or sent post-vetting?
- Photo / quote release. Separate doc, or merged with the mentor agreement?
